TCR-IT-011: Onboarding Process

The IT-specific steps for onboarding a new TCR employee: equipment, accounts, access, and orientation.

A new employee’s first days go smoothly (or don’t) largely based on whether IT was ready before they arrived. This checklist exists so nothing depends on memory: equipment, accounts, and access are prepared consistently every time, regardless of who’s handling onboarding that week.

  • Collect employee information: full name, position, start date, department, contact info, hardware/software needs.
  • Prepare IT equipment: assign and set up a computer with peripherals, latest OS updates and applications, label and inventory it.
  • Create user accounts: an account in Populi (which generates access to Google Workspace and other relevant systems), an Active Directory account if printer/shared drive access is needed, and set up email/calendar/communication tools.
  • Configure access permissions: shared drives, network resources, departmental software; Wi-Fi (DCSD-EDU-WPA2) and VPN as needed.
  • Prepare documentation: a welcome packet with login details, IT policies, and support contact information.
  • Welcome and setup: greet the employee, provide equipment, assist with initial login and account setup, overview of IT services and support channels.
  • IT orientation: brief training on college systems (email, file storage, printing) and IT policies (acceptable use, security, data privacy).
  • Software training: introduce role-specific software/tools, schedule deeper training sessions as needed.
  • Network and resource access: verify shared drives, Wi-Fi, and VPN access.
  • Follow-up: schedule a first-week check-in to address any IT issues or questions.
