TCR-IT-011: Onboarding Process

Why it exists
Section titled “Why it exists”A new employee’s first days go smoothly (or don’t) largely based on whether IT was ready before they arrived. This checklist exists so nothing depends on memory: equipment, accounts, and access are prepared consistently every time, regardless of who’s handling onboarding that week.
Process
Section titled “Process”Pre-onboarding
Section titled “Pre-onboarding”- Collect employee information: full name, position, start date, department, contact info, hardware/software needs.
- Prepare IT equipment: assign and set up a computer with peripherals, latest OS updates and applications, label and inventory it.
- Create user accounts: an account in Populi (which generates access to Google Workspace and other relevant systems), an Active Directory account if printer/shared drive access is needed, and set up email/calendar/communication tools.
- Configure access permissions: shared drives, network resources, departmental software; Wi-Fi (
DCSD-EDU-WPA2) and VPN as needed. - Prepare documentation: a welcome packet with login details, IT policies, and support contact information.
Onboarding day
Section titled “Onboarding day”- Welcome and setup: greet the employee, provide equipment, assist with initial login and account setup, overview of IT services and support channels.
- IT orientation: brief training on college systems (email, file storage, printing) and IT policies (acceptable use, security, data privacy).
- Software training: introduce role-specific software/tools, schedule deeper training sessions as needed.
- Network and resource access: verify shared drives, Wi-Fi, and VPN access.
- Follow-up: schedule a first-week check-in to address any IT issues or questions.
